How to set up report managers

Channel managers are the people responsible for receiving, reviewing, and tracking reports. Proper configuration helps ensure impartiality, continuity, and security in case handling.

Mandatory rules

Minimum of 2 active managers in the receiving group.
Automatic email notification to each manager when a new report arrives.
The channel can only be activated once the minimum configuration is complete.
💡 Why two managers?

Requiring two managers reduces the risks of unavailability, conflicts of interest, and dependence on a single person.

Protection against conflicts of interest

If a report mentions a registered manager, they are automatically removed from the distribution of that case. The report will be routed only to the other eligible managers.

Practical example

Registered managers: Ana, Carlos, and Mariana.

Report involves: Carlos.

➡️ Carlos does not receive the report.

➡️ Ana and Mariana receive it normally.

Fallback email

In exceptional situations, all registered managers may be involved in a report. In those cases, the system automatically routes the case to the external manager set as fallback (external counsel, compliance consultant, etc.). If no fallback is configured, the case is blocked with a warning until an external manager is registered.

🔒 Recommended security contact

Set up an external contact (lawyer, compliance consultant, or auditor) to ensure that every report can be received, even in conflict-of-interest scenarios.

How to manage

Add or remove managers by name and email.

Configure the fallback email in Settings → Security email.

Frequently asked questions

Can I register more than two managers?
Yes. The system supports multiple managers. The mandatory minimum is two.
Who receives the reports?
All active managers eligible for that case receive the notification automatically.
What happens if a manager is involved in the report?
They are automatically excluded from the distribution of that report. Only the other eligible managers receive the case.
Is the fallback email mandatory?
It is not mandatory, but it is highly recommended to ensure continuity in conflict-of-interest situations involving all registered managers.
